Bottle extensions that make it into the record.

Moving from a logbook and bottle cards to a shared digital record.

At Magic World, a guest could message to extend a bottle and receive a reply, but the update did not always reach the logbook. The person answering might be off shift or away from the outlet. By the next handover, the request could be forgotten.

The story

The challenge: the conversation and the record were separate.

Bottle information lived in a book and on a card the guest needed to keep. Extension requests arrived through messages.

Keeping everything accurate depended on someone transferring the information back into the book.

The change: a guest page connected to the bottle record.

We set up BottleBank for the team and gave them a month to use it during service without commitment.

Guests now receive a WhatsApp link to their own bottle page. They can request an extension or transfer through the page, subject to the venue’s settings, with the request recorded in the system for the team to handle.

The next shift can see the record without relying on a message being passed on or a guest producing a card.

The result: the team kept using it.

Magic World continued with BottleBank after the trial.

Since May 2026, the club has parked more than 200 bottles and the system has sent around 300 expiry reminders, as of 22 September 2026.

The reminders run automatically. Guests can return to their bottle page through WhatsApp, and staff have a shared record to work from.
